Position Title Operations Support Specialist

 

Department Administration

 

Reports To Administrator

 

Status (Full Time/Part Time/Salaried/Hourly) Full Time/ Hourly/Non-Exempt

 

Major Duties & Responsibilities

 

 

Administration

  • Answer all incoming calls to main telephone number and efficiently forward callers to the appropriate extension/staff person.
  • Greet visitors and guests as they present themselves provide them with a positive first impression of the company and its employees.
  • Create new caregiver's inboxes.
  • Sort, mail, and distribute paychecks for caregivers.
  • Assist Talent Manager audit personnel files for completion.
  • Maintain all employee paperwork in personnel files according to company standards.
  •  Collect expiring credential information from Caregivers, update new information in HRIS, and submit to Central HR.
  • Maintain Inventory of office supplies and submit order requests to Central.
  • Assist Clinical department make necessary materials including but not limited to, client contract packets, PCA class materials, etc.
  • Maintain a clean work space.
  • Assist Administrator with assigned projects.
  • Other special projects as assigned.

 

Recruiting/Onboarding Support

  • Facilitate Open House to screen and candidates, working closely with the Talent Manager and Clinical Team representatives.
  • Gather required documents from new hires and make appropriate copies.
  • Scan New hire paperwork to Central Human Resources.
  • Enter appropriate new hire information in HRIS.
  • Assist Talent Manager with the initial coordination of personnel and medical file.

 

Orientation Process

  • Make and maintain orientation materials.
  • Take pictures of new hires.
  • Make new hire ID badges.

Education Requirements High School diploma required; Associate's degree preferred.

 

Skill Requirements Excellent organizational skills; Strong attention to detail; Proficient in Microsoft Excel/Word; Strong computer skills; pleasant phone manner;  strong communication skills both verbal and written, ability to multi-task; flexible personality, must have intermediate computer skills including use of Microsoft Office Software 

 

Work Experience Requirements Minimum of 2 years experience in related position

 

Physical Requirements Must be able to sit for extended periods of time
